'High-maintenance recipes can trap you in the kitchen instead of mingling with guests,' advises Ryan Abney, founder of RA Event Design. 'Focus on seasonal ingredients with straightforward, flavorful meals that can be prepared ahead of time: consider marinated grilled veggies, chilled pasta salads, or fruity desserts that also serve as decor.'

'Guests will be reaching for drinks constantly in the heat,' says Cathy O'Connell, co-founder of COJ Events. 'Pre-chill wine, beer, and mixers, and estimate at least 1 lb. of ice per guest.'

'Always have more ice than you think you'll need,' adds Andrew Shortell, CEO of tableware rental service Hestia Harlow. 'Don't forget a beautiful water station with citrus or herbs; it's both functional and decorative.'

A dream outdoor evening party often calls for a large table, but limited space can complicate how you set up your backyard.

'Facilitate movement for guests,' suggests Laetitia Laurent, principal of Laure Nell Interiors. 'Place snacks by the pool, set up a self-service bar close to the kitchen or grill, and arrange cozy seating throughout. This prevents crowding in one area.'

The goal is a layout that promotes flow. 'Use outdoor rugs to define gathering spots,' Ryan recommends. 'At the table, keep decor low and simple to foster conversation and make it easy for guests to reach shared dishes.'

Once the food prep is complete and the table is set, I'm eager to greet my guests, but starting too early can lead to a major hosting blunder.

'Midday sun may sound appealing, but hosting during peak heat can leave guests uncomfortable,' Ryan notes. 'Opt for late afternoon or early evening when temperatures drop.'

Setting up outdoor shades and cool sitting areas is crucial. 'Prioritize shade with umbrellas, tents, or by draping fabric for a refreshing, resort-like feel,' Ryan suggests.

If you choose to host in the evening, don't overlook one essential element: outdoor lighting.

'It's surprising how many people focus on the table setting and forget about lighting after dark,' Laetitia observes. Consider your outdoor table lighting and illuminate pathways and areas for safety and ambiance. I favor layering with lanterns, string lights, and candles to maintain the atmosphere into the night.'

'Offer a variety of seating styles,' Ryan advises. 'I prefer lounge cushions or lightweight chairs that guests can move around as they chat.'

'You don't need a chair for everyone, but there should be spots to sit,' Laetitia agrees. 'I mix benches, poufs, and oversized cushions for a casual yet thoughtful vibe.'

While I'd love to showcase my favorite serveware at every summer gathering, outdoor-safe tableware is preferable to protect your best pieces from damage.

'Using lightweight or delicate dishes can lead to problems,' Cathy warns. 'Glass can break easily outdoors, and windy days can turn paper plates into a mess. I suggest investing in chic melamine or enamelware, sturdy drinkware, and weighted linens or clips to keep everything secure on your table.'
